Welcome Host / Receptionist
About the Role
As a Welcome Host / Receptionist, you will be the first point of contact for employees, visitors, and partners, creating a warm, professional, and seamless workplace experience. Based primarily in Tokyo with support for the Osaka office, you will manage front-of-house operations while assisting the Facilities team in maintaining a well-functioning, engaging, and safe office environment.
This role is ideal for someone who enjoys working with people, takes pride in delivering excellent service, and is comfortable supporting day-to-day workplace operations in a fast-paced environment.
About the Team
You will be part of the Real Estate & Facilities Management team, supporting daily office operations and ensuring a functional and well-maintained workplace environment.
What You’ll Do
Front Desk Management
Greet and attend to employees, visitors, and partners in a professional and courteous manner
Manage visitor registration, security procedures, and badge issuance
Handle incoming calls, emails, and general front desk inquiries as the first point of contact for workplace-related requests
Support a positive office atmosphere by engaging with employees and responding to feedback
Office Operations
Conduct daily checks to ensure office cleanliness, safety, and readiness
Assist internal stakeholders with document-related administrative tasks, including scanning, filing, and coordinating the delivery and collection of official documents
Manage incoming and outgoing mail, courier services, and document handling, including sorting, distribution, and tracking of important documents
Maintain pantry supplies, office inventory, and general workplace readiness
Ensure meeting rooms and shared spaces are tidy and ready for use
Facilities Support
Support the Facilities Manager in handling employee requests via internal systems or ticketing tools
Assist with logging, tracking, and following up on maintenance and service requests
Coordinate with vendors (e.g., cleaning, maintenance, catering) for routine services
Liaise with building management for access, maintenance schedules, and general operational matters
Administrative & Event Support
Provide administrative support for office activities and internal events (e.g., room setup, basic coordination)
Assist with onboarding logistics such as office tours for new employees
Support employee engagement activities, including Inclusion Business Group (IBG) initiatives, when required
Communication & Coordination
Share office updates and notices via internal communication channels
Work closely with the Facilities team and internal stakeholders to ensure smooth daily operations
What You’ll Need
2–4 years of experience in reception, office administration, or similar operational roles
Fluency in Japanese (business level) and basic English communication skills
Good communication skills and a professional, customer-focused approach
Strong organizational skills and attention to detail
Ability to manage routine tasks and prioritize effectively
Basic proficiency in Microsoft 365 (Outlook, Teams, Word, Excel)
Comfortable using internal systems or ticketing tools (training will be provided)
Additional Information
This role may require occasional support outside standard working hours for events or operational needs.
You will primarily be based in Tokyo, with coordination support for the Osaka office
