Position overview: Project Manager
As a Project Manager, you will play a pivotal role in supporting the successful delivery of creative projects from concept through completion. Working closely with the Business Producer, you will help prepare client proposals, presentations, quotations, and other materials required for new business pitches. Once a project is secured, you will coordinate its day-to-day execution, managing schedules, budgets, scope, and resources to ensure smooth delivery.
Drawing on your experience in the creative industry and understanding of creative workflows, you will serve as a key liaison between clients, internal teams, and external partners. Your ability to communicate effectively in both Japanese and English, anticipate challenges, and keep stakeholders aligned will be essential to delivering an exceptional client experience. While the Business Producer provides overall project direction and strategic oversight, you will ensure the operational aspects of each project run smoothly from kickoff through final delivery.
Key responsibilities
Support the Business Producer in preparing client proposals, presentations, quotations, and other materials for new business pitches
Conduct research on clients, industries, market trends, and project requirements to support strategic planning and decision-making, by making use of latest AI technology
Coordinate project execution from kickoff to delivery, ensuring effective communication across clients, internal teams, and external partners
Prepare project documentation, meeting notes, status reports, and other operational materials to support efficient project delivery
Manage project schedules, budgets, scope, and resources, proactively identifying risks and implementing solutions to keep projects on track
Serve as a primary day-to-day point of contact for clients, responding to inquiries and ensuring clear, timely communication
Build and maintain strong working relationships with clients, team members, and external partners to foster a collaborative and results-driven environment
What we're looking for
Business-level Japanese and professional working proficiency in English, with excellent written and verbal communication skills
4–5 years of project management or project coordination experience in a creative environment, such as a creative agency or production company
Strong understanding of creative workflows, including experience supporting client proposals, quotations, project planning, and production processes
Proven ability to manage multiple projects simultaneously while maintaining budgets, timelines, and project scope
Excellent organizational, time management, and prioritization skills, with strong attention to detail
Strong problem-solving skills, a proactive mindset, and the ability to work independently in a fast-paced environment
Proven ability to collaborate effectively with cross-functional teams, clients, and external partners in an international environment
Proficiency in Microsoft Office and project management tools (e.g. Jira, Confluence or similar)
Proficiency in AI-powered productivity and creative tools (e.g. ChatGPT, Claude, Gemini, Notion or similar) to support research, content development, documentation, and workflow efficiency
Reliable, adaptable, and committed to delivering high-quality work while meeting deadlines and budgets
Language Requirements
Business-level Japanese (JPLT N1 or native)
Proficiency in English (minimum TOEIC 850)
