AINEO Networks is seeking an Executive Personal Assistant in Tokyo. This is a permanent full-time role for a bilingual professional with native-level Japanese, business-level English, strong organization skills, and experience supporting executives, office operations, scheduling, communication, and administrative projects.
About the role
AINEO Networks is expanding its business and partnerships and is looking for a motivated Executive Personal Assistant to directly support the Managing Director in the Tokyo office.
This role is broader than a traditional secretary position. Because AINEO is a growing venture company, the successful candidate will support executive administration, general affairs, HR and recruiting tasks, accounting coordination, internal and external communication, website updates, and business improvement projects.

What does the Executive Personal Assistant do?
- Provide daily secretarial and administrative support to the Managing Director.
- Update company and service websites, including announcements, articles, and business information.
- Purchase and manage office supplies, stationery, and office equipment.
- Work with the finance team to support accounts payable and accounts receivable tracking and report key items to the Managing Director.
- Support business improvement, marketing initiatives, and business growth planning with the Managing Director.
- Manage and coordinate the Managing Director's business and personal schedule.
- Handle incoming phone calls, emails, and business messages.
- Take minutes during management meetings.
- Arrange business travel, including flights, hotels, and local transport.
- Coordinate events, speaking engagements, and meetings.
- Prepare emails, documents, letters, and other written communication.
- Provide administrative support for related nonprofit organization activities.
