POSITION OVERVIEW
Reporting to the Director, Asia/Oceania Office, the Office Coordinator is responsible for ensuring the efficient day-to-day operation of the Office while providing high-quality administrative, operational and logistical support to the Director and the team. This role contributes to the successful delivery of WADA's strategic priorities across Asia and Oceania by maintaining effective office operations and facilitating collaboration with internal teams and external stakeholders, including governments, National Anti-Doping Organizations (NADOs), Regional Anti-Doping Organizations (RADOs), International Federations, Major Event Organizations and other partners. This position requires a highly organized, and proactive reporting who can manage multiple priorities in a multicultural and international environment while exercising sound judgment, professionalism and discretion.
KEY RESPONSIBILITIES
1. Office Administration and Coordination
- Provide support to the Director and the team, including project management support on various projects, programs and activities;
- Be the Regional Office main point of contact for all administrative affairs including greeting guests and answering phones;
- Organize materials and files, both electronic and hard copies, including the overall management of the Office’s SharePoint requirements;
- Develop and maintain an overall office good working environment;
- Contribute to other initiatives and tasks as requested by the Director of the Office;
- Responsible for the overall office operations including office lease renewal, coordination of third-party IT support needs, and maintaining good working environment for all RO staff;
- Manage internal finance, accounting and administrative matters;
- Act as main liaison with Montreal Office on all administrative matters;
- Liaise with the Travel Department and organize travel and accommodations for the Office.
2. Event and Meeting Coordination and Organization
- Plan, coordinate, and organize the WADA’s annual Asia/Oceania Intergovernmental Ministerial Meetings, regional governmental meetings, Task Force Meeting of Asian Region Finance Committee and others;
- Plan, coordinate and conduct the annual Asian Region WADA Foundation Board Member election;
- Organize and support other relevant meetings, both in-person and virtual.
3. Stakeholders Coordination
- Coordinate communication with the stakeholders (e.g. including governments, National Anti-Doping Organizations (NADOs), Regional Anti-Doping Organizations (RADOs), International Federations, Major Event Organizations and other partners) as required;
- Maintain the stakeholders’ contact database up to date and ensure regular communication with stakeholders where required;
- Liaise with WADA’s Engagement and Development Department, in particular, on inter alia contact database, calendar, stakeholders' engagement.
4. Additional responsibilities
- Work closely with other WADA staff as part of Project Teams;
- Assist/support other organizational activities as required.
