ResponsibilitiesOverall RoleThe Facility Coordinator (Finance) will assist all team members and contribute to the client through Finance operation. Team provides services related to both soft and hard in the client office. There is also the aspect of working on behalf of the client. The Facility Coordinator (Finance)is primarily responsible for budget and order management and payment related to the team’s work. He/she is also responsible for general administrative tasks.
Major ResponsibilityThe primary point of contact for both the Head Office Finance Department and our Regional Finance Department
Budget and order management team
Tracking from PO Issuance to Receipt of Invoice and Payment
Communication with finance representatives at each office (approximately 20 locations) is required
Participation in team improvement activities.
Assist all team members to verify with Finance on all expenditure for facilities management, including invoice reconciliations, and contribute to cost saving initiatives.
Business Partner Registration Management
General Administrative Affairs of the Affiliated Office
Administration & Routine WorkEnter facility management projects occurring nationwide into Oracle JD Edward and issue purchase orders to vendors.
Process invoices from business partners for facility management projects occurring nationwide.
Update master register of all contact lists including emergency contact lists, master vendors contact lists and critical vendors contact lists and conduct random checks.
Support for operations related to facility management, various arrangements, administrative processing, and related tasks.
Handling inquiries from client employees as the general affairs contact point
Required qualifications, experience, skills and others.Knowledge and Skills RequiredMinimum three years’ experience in finance, facilities management experiences a plus.
English skill (Speaking and Writing)
To see things from Client standpoint, listen, observe to anticipate client’s needs, work proactive.
CompetencyHave respect for others and be a team worker.
Works well with others and can build key relationships with cross functional teams.
Excellent communication skills, both written and verbal, as well as interpersonal skills.
Time-management skills and the ability to work under pressure to ensure the efficient running of an event.
Able to see things from the clients’ stand points, listen and observe to anticipate clients’ needs.
