仕事内容:
- Assisting all diplomatic officers of the Mission for clerical work, typing work and work for Admin, consular, economic, and cultural as instructed by the Diplomatic officers and Attaché;
- Maintenance of files related to cultural, and promotional administration work;
- Interpretation (English to Japanese and Japanese to English) in activities, meetings and engagements with Japanese people;
- Interpretation (Sinhala to Japanese and Japanese to Sinhala) in activities, meetings and engagements with Japanese people;
- Handling all documentation part of Sri Lankan nationals illegally staying in Japan or in need of Missions assistance;
- Coordinate verification of documents from Japanese Immigration authorities with assistance from the diplomatic official;
- Handle correspondence with the Ministry of Justice, Immigration Services Bureau, and other immigration offices throughout Japan when making appointments on behalf of Diplomatic officer handling consular and any other critical issues;
- Communication and Correspondence with local authorities with regard to documentation;
- Communicating with the Ministry of Justice in Japan, Immigration Services Bureau, and other immigration offices throughout Japan, under the guidance of a Diplomatic officer;
- Visiting Immigration detention centers, prisons, hospitals, police stations and assist on Sinhala/Japanese Translations;
- Handling all documents and liaison related to visits of Journalists/TV/Magazine personnel to/from Sri Lanka/Japan. Explain the Sri Lanka government guidelines;
- Maintaining the Media List and Japanese Travel Agents List;
- Submission of daily mails to Diplomatic officers, PA to the Ambassador and relevant sections of the Embassy while maintaining a register of all incoming and outgoing letters with the signature of the respective officers.
- Working at the Reception when it is required and informed by the Attaché;
- Assisting Protocol duties assigned by the Head of Mission, Deputy Head of Mission/Head of Chancery, diplomatic officers and Attache
- Any other duties assigned by the Diplomatic officers/Attaché of the Mission.

Candidates must meet the following minimum criteria:
- A Bachelor’s Degree from a recognized university
- For non-native Japanese users- JLPT Level N1 (Japanese Language Proficiency Test – Level 01)
- For non-native English users, a TOEIC score of over 800
- Strong computer literacy, with proficiency in Microsoft Office applications (Word, Excel, Outlook, etc.)
- Excellent communication skills in both English and Japanese
- Proven ability to communicate and work in Business English and Japanese (oral and written)
- Knowledge of additional languages will be considered an advantage
- Proficiency in Information and Communication Technology (ICT) tools and systems
Minimum of 3 years of relevant professional experience in a clerical, secretarial, or administrative role Experience in working with diplomatic or international organizations is an added advantage
Applicants should preferably be between 25 – 40 years of age as of the final date of application submission.
Non-Japanese citizens must hold a valid work permit or residence visa in full compliance with Japanese labor regulations, specifically authorizing employment at foreign diplomatic missions.
勤務時間・曜日:
Monday to Friday, 9:00-17:00
Candidates must be willing to work beyond regular office hours and on weekends when required for official duties.
休暇・休日:
Vacation Leave: 30 working days per year
Casual Leave: 7 working days per year
給与:
Basic Salary: JPY 200,000 per month and JPY 3,500 yearly increment up to JPY 252,500.
Other Allowance: 30% of basic salary per month
Bonus: Equivalent to one month's salary, paid annually on June 30 and December 31, subject to the successful completion of a six-month probationary period
Insurance and Tax: Please note that the Embassy does not cover insurance and tax contributions; candidates are responsible for managing these independently.
