OVERALL ROLE
The Delivery Coordinator supports day-to-day site operations as part of the Workplace Experience team. The role provides workplace management and administrative coordination (including inspections, seating, vendors, purchasing and reporting), acting as the on-site point of contact for Global Real Estate (GRE) workplace activities. Success requires proactive engagement with lines of business (LOBs) and service partners to deliver a consistent, high-quality occupant experience.
MAJOR RESPONSIBILITIES
1) Workplace experience & standards (“Workplace of the future”)
Own and maintain workplace standards, including Clear Desk/Clear Deck compliance and the lost property process, with appropriate reporting to the Workplace Experience team for sharing with LOBs.
Conduct proactive checks to an agreed schedule (including a portion after business hours) to ensure occupants return to a refreshed, clean workplace.
Contribute to a highly proactive, responsive, agile team culture and ways of working.
2) Operations management & service delivery
Provide functional operational coordination to deliver consistent service excellence on site.
Implement service tasks, procedures and policies; track performance against SLAs/KPIs.
Review and spot-check supplier/service-provider performance to ensure contractual obligations are met.
Understand site operational and technical requirements; support contract continuity to maintain required supplies and services.
Deliver comprehensive workplace management for office premises, including routine inspections and issue resolution.
Manage and follow the change control process for site changes and workplace initiatives.
Handle occupant/user concerns professionally, provide solutions, and follow through to closure.
Identify operational issues and opportunities for continuous improvement, including a cost-saving/value mindset.
Raise risks and issues promptly to the Workplace Experience Site Lead using agreed escalation channels.
Support incident reporting and coordination during emergencies and critical out-of-hours issues.
Perform basic analysis/reporting when required (e.g., operational metrics, trend themes, recurring issues).
Candidate specification (key selection criteria)
Experience / qualifications
Minimum 3 years’ experience in facilities management and/or hospitality (or related workplace operations environment).
Bachelor’s degree in facilities management/building/business (or related field) is beneficial but not required.
Fluent in English.
