【概要】
The Admissions Officer is responsible for delivering a professional, welcoming and well-organised admissions experience for prospective families, working closely with the Admissions Manager.
The postholder will manage enquiries and applicant records, coordinate visits, assessments and interviews, prepare correspondence, track documentation and decisions, support recruitment events and maintain accurate information within OpenApply and other School systems.
Admissions and Marketing are separate functions. The Admissions Officer focuses on family engagement, application administration, process quality and conversion under the direction of the Admissions Manager.
<具体的には>
1.Prospective-Family Service and Enquiries
- Monitor and respond to admissions email, telephone and other approved enquiry channels promptly, professionally and empathetically in English and Japanese.
- Explain RSJ's educational offer, day and boarding options, entry points, admissions process, assessment requirements, fees and next steps accurately and clearly.
- Identify the needs and circumstances of each family and provide appropriate follow-up, while avoiding advice or commitments outside delegated authority.
- Maintain regular, purposeful communication with prospective families throughout the admissions journey and ensure no enquiry or application is left without a clear next action.
- Escalate sensitive, complex or exceptional cases promptly to the Admissions Manager.
2.Application and Database Administration
- Create, update and maintain accurate enquiry and applicant records in OpenApply and other relevant School systems, including status, source, notes, tasks, documents and communications.
- Check applications for completeness and request required documents, including school reports, references, identification and other supporting information.
- Track applicants through each stage of the pipeline and ensure deadlines, follow-ups and outstanding actions are visible and completed.
- Maintain orderly and confidential digital records in accordance with School procedures, privacy requirements and agreed retention practices.
- Support routine data quality checks, deduplication, reporting and process improvements.
3.Visits, Assessments and Admissions Decisions
- Arrange personalised campus tours, online meetings, taster visits and other prospective-family appointments, coordinating relevant staff and pupil involvement.
- Coordinate entrance assessments (admissions testing), interviews, references, scholarship assessments and related logistics, including invitations, schedules, rooms, online links and materials.
- Ensure assessment information and staff feedback are collected and recorded promptly for review by the Admissions Manager and authorised decision-makers.
- Prepare accurate offer, waiting-list, decline and other outcome communications for approval and issue.
- Maintain clear separation between administration of the process and formal admissions decisions, which remain with authorised School leaders.
4.Offers, Acceptance and Onboarding
- Track offers, acceptance documents, deadlines, deposits and other required steps, liaising with Finance and the Admissions Manager as appropriate.
- Provide accepted families with clear information about enrolment, start dates, orientation, uniforms, transport, technology, medical requirements and other onboarding matters.
- For boarding and overseas pupils, coordinate the collection of required boarding, travel, guardianship, emergency-contact and immigration-related information in accordance with School procedures and applicable requirements.
- Prepare a complete and timely handover of accepted pupils to Registry, Finance, Boarding, Medical, academic and pastoral colleagues, avoiding duplicate requests to families wherever possible.
- Support new-family welcome and orientation activity and help resolve outstanding pre-arrival matters.
5.Events, Recruitment Support and Partnerships
- Support the planning and delivery of Open Days, information sessions, webinars, assessment days, school fairs and agreed recruitment travel.
- Represent RSJ professionally at approved external events and provide accurate follow-up to participating families.
- Support the Admissions Manager in communication with feeder schools, education advisers, relocation partners and approved agents, ensuring they receive current and accurate information.
- Maintain event registrations, attendance records, follow-up actions and feedback.
- Share recurring questions, family feedback, lead quality and conversion barriers with the Marketing team to improve campaigns and information.
6.Reporting, Compliance and Continuous Improvement
- Prepare regular pipeline and activity reports covering enquiries, applications, assessments, offers, acceptances, withdrawals, source markets, response times and conversion.
- Support the Admissions Manager in monitoring year-group capacity, waiting lists, day and boarding demand and key recruitment trends.
- Follow the School's Admissions Policy and all approved procedures consistently, fairly and transparently.
- Comply with safeguarding, child protection, equality, privacy, information-security and record-keeping requirements.
- Identify practical ways to make the admissions process clearer, faster and more family-friendly while preserving appropriate checks and decision-making standards.
- Prompt, warm and accurate communication with prospective and accepted families.
- Complete, current and reliable applicant records and documentation.
- Well-organised tours, assessments, interviews and admissions events.
- Clear progression of applicants through the pipeline and timely follow-up of outstanding actions.
- Accurate offers, acceptance tracking and handover into Registry and School operations.
- Positive collaboration with the Admissions Manager, Marketing and wider School teams.
- Consistent compliance with admissions policy, safeguarding, privacy and delegated authority.

※給与は年俸を12分割し毎月支給。
※経験・能力・前職給与等を考慮のうえ決定します。

【Essential】
- Professional fluency in both English and Japanese (written and spoken)
- Experience in admissions, education administration, customer service, hospitality, account management, relocation, or another client-facing role
- Excellent interpersonal and communication skills with a warm, service-oriented approach
- Strong organisational skills with excellent attention to detail and accuracy
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Confidence using Microsoft Office and cloud-based systems (CRM/MIS experience welcomed)
- High level of integrity and discretion when handling confidential information
- Commitment to safeguarding and promoting the welfare of children
【Desirable】
- Experience in an international or independent school
- Experience supporting international families or admissions processes
- Familiarity with OpenApply, iSAMS or similar admissions/student information systems
- Knowledge of British international education, boarding schools or the international school sector in Japan
